Mosaic is an integrated marketing agency that partners with a variety of clients, including The Princess Margaret Cancer Foundation. Since 2022, Mosaic has been managing several Conquer Cancer events, a series of charity sporting events that raise funds for cancer research. These events include high profile activities like the Ride to Conquer Cancer, a cycling event which draws thousands of participants annually. As the events expanded, so did the need for an efficient, streamlined approach to planning.
Prior to using OnePlan, Mosaic faced the daunting task of planning site layouts and managing logistics manually. Events like the Ride to Conquer Cancer require the coordination of dozens of temporary structures, such as tents, power sources, toilets, trailers, and cycling routes, on large outdoor sites with minimal built-in infrastructure. The previous event organisers had relied on Microsoft Visio, but it lacked the intuitive functionality that has become integral to Mosaic’s planning process. When Mosaic took over managing the Conquer Cancer events, they sought a more advanced planning solution to meet their growing needs.
“We received the recommendation from a colleague who knew someone using OnePlan for the Olympics,” explained Elise Fazzari, Senior Producer at Mosaic. “We started using it and really enjoyed it. We’ve had numerous conversations with your sales and help desk teams about functionality, features we’d love to see added or changed, and any challenges we’ve encountered. It’s been a great relationship over the past three to four years.”
Discovering OnePlan: A game changer for Mosaic
From the moment Mosaic began using OnePlan, they recognised a significant improvement in their ability to plan and execute all of their events. The software’s user-friendly interface and powerful site planning tools are well suited to their need for accuracy and resource allocation.
“We primarily work with outdoor sites that have minimal infrastructure – no built-in toilets, showers, or tents,” Elise noted. “OnePlan is ideal for creating detailed site layouts.” The software allowed them to map out every detail of the event in Canada, from power sources to cycling routes and parking lots.
User-friendly, collaborative planning with OnePlan
With 80 event plans in OnePlan, the Mosaic team has unlocked time and cost savings thanks to how easy OnePlan is to use. Elise says, “OnePlan makes planning easier, quicker, and more accurate. It definitely saves time and is less expensive than contracting a CAD designer.” With the simplicity of the platform, Mosaic could quickly create and adjust site maps, ensuring that they met client needs efficiently.
OnePlan’s collaboration features provide another crucial benefit. Mosaic has 19 team members on OnePlan working together in real-time, making adjustments to their site layouts as needed. Elise explains, “The key is that we can all use it – it’s user-friendly, requires minimal training, and makes it easy to manipulate the infrastructure we need to plot on the map.”
For outdoor events like Ride to Conquer Cancer, where every square inch must be accounted for, OnePlan’s site layout tool proves indispensable. “Knowing items are to scale ensures we can see what fits. We use the measuring tool frequently to help us organise fence lines and determine distances for walkways and cycling routes,” Elise shares. “The accuracy is excellent, and it helps us avoid potential issues when it comes to fitting everything on-site.”

Streamlining logistics with OnePlan
The measuring tool in OnePlan quickly became a favourite feature of the Mosaic team. It enables them to accurately plan distances for fence lines and participant walking routes. With 18 pit stops specifically for the Ride to Conquer Cancer event, in addition to three major venues in Canada, Mosaic no longer needs to visit every location in person, which reduces staffing and travel expenses.
“OnePlan has helped us plan many elements of our events remotely. This saves us a lot of staffing costs and mileage. For example, we have 18 pit stops for one event, and we no longer need to visit each site in person,” Elise explains.
The software’s real-time updates allow for seamless collaboration among team members. The ease with which layouts can be shared, adjusted, and reviewed has improved the efficiency of meetings, allowing Mosaic to make quick, data driven decisions without removing the need to use expensive CAD software. “We love that we can share our screen, move things around easily, and not have to deal with the complexity of CAD software,” Elise adds.
Creating professional, polished site plans for clients
OnePlan enabled Mosaic to create clear, professional site plans that could be easily shared with clients. The platform’s export capabilities streamlined the process, eliminating the need for manual workarounds in other software “OnePlan provides an easy way to produce a clear, professional looking site plan. We feel comfortable sending this to clients as a polished and professional site plan,” shares Elise.
The lasting impact of OnePlan on event planning at Mosaic
Since integrating OnePlan, Mosaic has dramatically improved the speed and accuracy of their planning process, with enhanced collaboration, detailed site layouts, and precise measurements. This allows the team to focus on delivering top-quality events rather than getting bogged down in logistics.
“The flexibility and accuracy OnePlan offers have made it indispensable for our team. It’s no surprise that we’re using it for all our events now, not just for the Princess Margaret Cancer Foundation,” Elise says. “We love the software”
